We can be very flexible with the booking of the hall, we have all day rates and evening rates, even weekend rates for weddings and events that have booked the whole venue from Friday to Sunday.

Terms and Conditions for the Hire of the Village Hall do apply to all bookings.

A brief description is set out below.

Please read these carefully as they may affect the return of your deposit.

A Caretaker will meet and greet you at the Village Hall, show you around the facilities and make sure you are fully aware of any policies and procedures. This will ensure that your event runs smoothly and efficiently for you.

The building is strictly a NO Smoking and NO Vaping zone.

For your safety and security AUDIO CCTV is in operation 24 hours a day, in internal public areas and externally, covering the car parks and playing fields. New coded security doors are in place to ensure that your private hire remains undisturbed.

Standard Conditions of Hire

1. Alcohol – Selling and consuming of – We have a fully licensed bar for hire.

The Village Hall does not hold a licence for you to sell alcohol, or for any hirer to consume alcohol on the premises. Even if the hirer themselves hold a licence. Should the hirer go ahead and sell or consume alcohol on the premises, the Committee has a duty to inform Staffordshire Police and Lichfield District Council Licensing Department immediately. A licensed bar service can be hired through our booking system. Customers may not bring their own alcohol on site. Deposits will be forfeited and an additional charge of £100.00 may be made.

2. Helium Balloons- now permitted!

These are now permitted into the building. But due to the high ceilings, the retrieval of rogue balloons causes an additional expense to the Hall. Tip! Use double sided tape and a spare balloon to retrieve the escapees.

3. Pets

Pets are currently not usually allowed in the building except for Guide Dogs, Therapy Dogs or Dogs for Good. Please advise us of any dogs attending prior to your event. Special Charity events are often exempt from this rule.

4. Deposits and Booking Fees

All deposits and booking fees must be received by the administrator as cleared funds prior to the event. Failure by the hirer to send these fees by the due date may result in the event being re-allocated to another hirer or the event being cancelled by the Charity Committee. Cancellation fees are detailed on your booking form.

5. Your responsibilities as a hirer.

At the end of each event you must personally handover to the caretaker on duty.

The caretaker will then report back to the Committee and they are at liberty to withhold the deposit and/or make an additional charge if the terms and conditions are not fully met.:-Firstly – Please thoroughly check your event booking form, for times, room allocation and any other booking requirements, prior to your event.

A copy of your booking form should be with you on the day, so you have all your details to hand.

Basically we do expect you to:-

Contact us on the day, and both pre and post event to ensure any set up or break down requirements of your event are fully communicated. WE do require final guest numbers and entertainers details well in advance, with public liability documents (if applicable to the supplier)

We will pre set your function room for you, all we ask is that you return all equipment, tables and chairs etc, to store rooms, if applicable to your booking / event

Please clear and clean up after your event. We do supply a house keping tray with relevant cleaning products, including washing up liquid and brush, tea towels, bin liners, a mop and bucket brooms and vacuum cleaners. So you don’t actually need to bring any cleaning products yourself.

Please securely tie up all of your rubbish into bin liners and dispose of in the appropriate bins provided. Please also check car park areas for additional party rubbish, especially tinsel, confetti, streamers and rogue balloons etc. We do expect you to take any glass items home for recycling, as we are a ‘sports’ venue too, we try and remain a ‘glass free’ zone.

Please secure our building. Ensure all windows, shutters and doors are securely closed and locked. Please do not leave the building without handing over to the caretaker in person. Double check fire doors as they may have been used by entertainers and not secured internally.

Feedback

Please report any issues or damage immediately to the caretaker on duty. This will also ensure that your booking fee can be processed more quickly.

Please remember there may be (and usually is) another booking following on directly after yours so please leave the building in a tidy manner to help our team do a quick turnaround for the next hirer.
